Job Title: Patient Access Specialist

Department: Intake

Location: Grand Rapids, MI

FLSA Status: Non-Exempt (Hourly)

Manager Title: Patient Access Manager

Summary: We are seeking an experienced administrated professional with interest in joining a family-oriented team poised for organizational and professional growth. Responsible for many administrative functions in regard to patient intake including, but not limited to, triage phone calls, referral order processing, patient scheduling, and knowledge of insurance verification and prior authorization requirements.

Duties and Responsibilities:

· Remain HIPAA compliant, always ensuring the patient’s right to privacy, safety, and confidentiality are maintained

· Coordinating patient schedules with accuracy to the current therapy and location

· Accurately entering patient information

· Maintaining up to date and accurate demographic data

· Processing incoming referrals in an accurate and timely manner, ensuring all required information has been received. This includes urgent, same day referrals

· Answering incoming calls and appropriately routing each call when necessary

· Contacting patients to schedule which includes informing them of insurance benefits, the estimated out of pocket due, as well as any possible copay assistance or foundation assistance available

· Follow up on unscheduled patient’s, cancelled and missed appointments

· Complete all necessary prescreens prior to the patient’s appointment

· Perform other duties as assigned

Skills and Abilities

· Professionally answer phones

· Assemble and organize data received

· Accurately document information that pertains to inputting data

· Prioritize daily tasks, working efficiently and effectively in performing the various daily tasks

· Schedule appointments according to each specific treatment plan

· Understand and apply office policy and procedures

· Have a working knowledge of current computer and the programs implemented at Infusion Associates

· Professionally draft correspondence when required

· Have a working knowledge of clinical terminology used within the department

· Maintain a safe and compliant environment

· Perform other related duties as assigned or requested. Infusion Associates reserves the right to make changes to current duties at any time

· Time management skills necessary to multi-task in a busy environment


· High School Diploma

· 1-year experience in healthcare intake department preferred
